Human Resources Business Partner

Position Summary

We are seeking a detail-oriented and service-focused Human Resources Business Partner (HRBP) to support our operations in Italy with a strong emphasis on payroll administration, timekeeping, HR operations, and employee support. This role combines traditional HRBP responsibilities with hands-on administrative execution, ensuring accurate payroll processing, compliance with local labor regulations, and smooth day-to-day HR operations.

The ideal candidate is highly organized, proactive, and comfortable balancing administrative HR responsibilities with employee relations and recruiting activities.

Key Responsibilities

Payroll & Timekeeping Administration

  • Coordinate and support monthly payroll preparation in partnership with external payroll providers or internal payroll teams.
  • Ensure accurate collection, validation, and submission of payroll-related data including attendance, overtime, absences, bonuses, and variable compensation.
  • Manage and monitor employee timekeeping systems and ensure accuracy of working hours, vacation balances, sick leave, and other attendance records.
  • Review payroll outputs for accuracy and resolve discrepancies in a timely manner.
  • Support compliance with Italian labor law, collective bargaining agreements (CCNL), tax regulations, and social security requirements.
  • Prepare HR and payroll reports, metrics, and supporting documentation as needed.
  • Maintain employee records and HR documentation in accordance with GDPR and company policies.

HR Operations & Employee Support

  • Serve as a primary HR contact for employees and managers regarding HR policies, payroll inquiries, attendance matters, and administrative processes.
  • Support onboarding and offboarding activities, including contracts, employee documentation, and system updates.
  • Coordinate employee lifecycle administration including promotions, salary changes, transfers, and contract amendments.
  • Assist with implementation and communication of HR policies and procedures.
  • Support employee relations matters and escalate issues when appropriate.
  • Collaborate with managers to ensure HR processes are completed accurately and efficiently.
  • Defining and monitoring the company’s training plan
  • Identifying training needs and coordinating training activities
  • Supporting the development of employees’ skills and career paths

 

Recruiting & Talent Support

  • Support recruiting activities for local positions including job postings, interview scheduling, candidate communication, and onboarding coordination.
  • Partner with hiring managers to ensure a positive candidate experience and timely hiring process.
  • Coordinate with external recruiting agencies when needed.
  • Maintain recruiting documentation and candidate tracking systems.

Compliance & Continuous Improvement

  • Ensure compliance with Italian employment laws and internal company standards.
  • Support HR audits and compliance activities.
  • Identify opportunities to improve HR administrative processes and increase efficiency.
  • Participate in HR projects and process improvement initiatives as needed.
  • Management of industrial relations, including overseeing relations with the RSU and labor unions, participating in negotiations, and managing issues related to work organization and personnel.

Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
  • 3–5 years of HR experience with strong exposure to payroll administration and HR operations.
  • Experience working within Italian labor law and payroll practices required.
  • Experience with timekeeping and HRIS systems.
  • Previous recruiting coordination or talent acquisition support experience preferred.
  • Strong administrative and organizational skills with high attention to detail.
  • Ability to manage confidential information with professionalism and discretion.
  • Strong communication and interpersonal skills.
  • Fluent in Italian and English, both written and spoken.
